Personal accounts
All personal accounts are created automatically for all UKSW employees, regardless of their role (academics, administration staff etc.).
Onboarding employees will get a special SMS notification upon their account creation. The message will contain all relevant information.
Access to personal accounts expires with employment, and the content of mailbox gets erased after further grace period.
Organizational unit accounts
Organizational unit accounts are beign created upon a reasoned request of the unit manager, indicating:
- persons or other units that will receive access to the account (as described below)
- substantiation,
- address suggestion.
Account access can be granted to:
- all employees of selected org unit - which allows for automatic access removal whenever an employee changes his org unit, and
- selected employees of any org unit - but in this case, the unit manager that owns the account is personally responsible for notifying IT staff of any changes that require access removal.
The person responsible for the assigned account and authorised to any changes will always be the manager of the organizational unit.
The organizational unit accounts do not have a separate credentials - they are assigned to existing employee accounts. Org unit accounts do not expire automatically.
Event accounts
Special event accouns are created upon request of manager (administration units) or the Faculty Dean (academic units), indicating:
- the date of account expiration, not exceeding 3 years (if no date is indicated, a default of 1 year is assumed),
- a person responsible for the account and authorized to make any further decisions,
- persons or org units that should be assigned access to the account (as described above in the org unit section),
- substantiation,
- address suggestion.
Event accounts expire upon the preset date and can be prolongated before expiration via a subsequent requests. After expiration and further grace period, the account content will be erased.
